The Position: 

This dynamic role as an Administrative Assistant plays a vital role in being the “right hand” to our Executive Business Coordinator and virtual coaching team at KLC Consulting.  This position involves managing virtual office tasks, coordinating online communication, and assisting with various administrative functions crucial to the success of our virtual coaching programs. You need to be a quick learner, people smart, and you need to be an excellent written and oral communicator. You are mature, you dislike drama, you can work independently, and you do not need a ton of handholding.

- A mature demeanor with ability to emotionally self regulate  

- A quick learner with problem-solving and critical thinking skills - someone who takes the initiative to figure out what needs to be done through creativity and flexibility 

- Customer-service oriented with ability to quickly establish rapport with customers and team 

- Obsessively motivated, reliable, and resourceful  

- Has an aptitude for (or ability to quickly master) communication around operating systems such as Excel, Google drive, Active Campaign, Kajabi, and other email marketing and technical programs… PS we can help teach you these!  

- Superior organizational skills, follow-through skills and attention to detail 

- Excellent communication skills and ability to finish an assigned task without all of the steps in place (we talk daily and are a very high touch team) 

- Playful sense of humor and don’t take yourself too seriously 

- You are humble, hungry and smart 

- You don’t need tons of hand holding but also can listen to and follow tasks as outlined in our standard operating procedures 

Must-Haves:

- General competency or ability to learn basic email marketing systems, CRM, project management tools, Canva, social media, and other digital platforms 

- Meticulous about spelling, grammar, and punctuation

- Excellent communication skills with outstanding phone, written, and verbal etiquette

- Positive and upbeat personality

- Action-oriented with ability to take constructive feedback 

- Professional and mature demeanor with presentable appearance 

- Well rounded- ability to quickly learn KLC’s operations, technology, social media and other applicable systems

- Ability to set the tone for the team with optimal professionalism

- Adaptable to navigate unforeseen circumstances

- We are a virtual team. You need an office space and strong internet connection 

Not the right fit: 

- You are looking to start your own business within the next 2 years 

- Someone who needs a ton of structure and consistency 

- Not willing to jump in as needed on tasks that aren’t “yours”  

- Working multiple jobs or side gigs 

- Someone who can’t work independently 

- Someone who has never worked in an entrepreneurial environment before 

- Someone who is not tech savvy and may shy away from figuring things out for themselves 

- Someone who does not have the ability to balance multiple responsibilities 

Key Responsibilities will Include: 

- Powerpoint deck creation and updating 

- Manage set up and publishing of monthly blog 

- Assemble and send out welcome boxes and thank you gifts  

- Support with project organization of retreats, conferences, and events  

- Design and launch landing/sales pages  

- Quick adjustments to web pop ups as needed  

- Create content pieces from videos/ blogs. 1 min/ 2 min videos/ IG posts and stories   

- Prep social posts and queue for approvals   

- YouTube maintenance; upload weekly podcast videos/audio, upload content videos from Instagram, upload client testimonials, etc 

- Weekly subscriber and client email drafting, uploading, and scheduling 

- Email target list building, data mining 

- Follow up emails to leads  

- Organize digital files and resources 

- Build and collect Google form surveys 

- Membership site (Kajabi) updates and integrations 

- Assemble monthly client calendar 

- Organize digital and physical marketing assets for conferences  

- Take initial review and edits to all content marketing  

- Assist EBC (Executive Business Coordinator) with tasks as needed 

This is an entry level part time or full time position $25+ Hr based on experience, skills, and ambition with eligibility for perks and ample runway for growth.  If you have the right passion, we will mentor you and help you grow!
